Mission & Organization

IFToMM highly welcomes and ideally supports conferences, symposia, workshops, Student Olympiads, and summer schools ignited by its members and its Technical Committees and Permanent Commissions. The policy of IFToMM for conferences is grassroot movement, i.e. where the initiative lies on the formidable people shaping and bringing forward mechanism and machine science.
 
Every IFToMM member can promote, continue, or extend a conference event and seek patronage from IFToMM. Patronage is issued by allowing the conference to use the IFToMM logo, and as more and more of its corporate identity progresses also to use the templates and databases supported by IFToMM. As a general rule, at least one Membership Organization and one Technical Committee must have been informed of and approve the conference. However, in some cases exceptions from this can be made for example when a Member Organization celebrates a regional conference, or when a Technical Committee celebrates a topic-specific workshop or symposium.
 
Applications for ideal conference patronage should be made using the fast-track conference request form ‘IFToMM Form 01 – Conference Patronage Request-Form.pdf’ downloadable under IFToMM Forms and by submitting it to conference-affairs@iftomm-world.org.
 
The Executive Council decides once every quarter on all received applications with no critical issues, and twice a year on critical applications. Conference organizers may not use the IFToMM logo before the Executive Council has not explicitly approved the patronage. In urgent cases the President together with the responsible member of the Executive Council in charge of Conferences and Summer Schools may take ad hoc decisions, which are then reported to the Executive Council.
 
Corresponding conference chairs are asked to submit a brief report on the conference impact numbers as well as the conference programme and a conference "group photo" with approval of all included persons to disseminate the photo in the IFToMM webpage. Books of abstracts or proceedings should be publicized preferably in one of IFToMM book series or journals (see Journals & Publications), but conference chairs might decide also to publish on other media traditionally used in their community.
 
Apart from ideal support, IFToMM also grants financial support for one of the following three items:

  • Summer Schools
  • Student's Olympiads
  • Young Delegate Program

The Executive Council decides once a year (at its end-of-year session) on budgets for Summer Schools and Student's Olympiads for the forthcoming year or later based on a fixed yearly budget amount, and twice a year with a half-split fixed yearly budget for the Young Delegate Program from all received conference applications.

Summer School and Student's Olympiad financial aid

The purpose of the Summer School and Student's Olympiad financial aid is to support the organizers to perform activities at the student's level with low income. Applications should be made through the respective forms and sent to conference-affairs@iftomm-world.org.

IFToMM Young
Delegate Program

The purpose of the Young Delegates Program (YDP) is to provide assistance to young scientists and engineers with low budget so that they may participate in IFToMM technical conferences. A Young Delegates Program support foresees up to fifty percent to a maximum of US $500 of the difference between the total cost of registration fees, transportation, and board and lodging and the support of the institutions of the participant. In order to be eligible for support, the participant should be "young" (i.e., aged less than 37 years in the year of the conference) and come from a IFToMM Member Organization. Funds for Young Delegate Program are requested by the Corresponding Chair of the Conference for a certain number of Young Delegate Program funding units à US $ 500.

Applications for Young Delegate Program funds by conference organizers and as individual applications for Young Delegate Program for participants should be made through the respective forms In the case of the conference organizers, the form must be IFToMM form 04 and sent to  institutional-ydp-requests@iftomm-world.org in the case of individual applications, the IFToMM form 05 which must be sent to the conference organizers and institutional-ydp-requests@iftomm-world.org. After approval and, if necessary, budget pruning by the Executive Council, the conference chair will appoint an internal Young Delegates Program evaluation panel for received applications by participants, document the selection process, and pre-finance the Young Delegate Award. Upon report to the Executive Council of the selection process including the awarded participants, the rationale for the decision, and the approved individual monetary sums through the channel conference-affairs@iftomm-world.org, the Executive Council will decide to refund the awarded Young Delegate Program funds to the conference organizers through the Treasurer.

Funds approved for Young Delegate Programme may not be used for other purposes unless risking loss of reimbursement by the Federation.
